Reorder Planning Guide

Repeat orders go faster when the basics are set up properly. Keep the right sizes, artwork, quantities and approvals on file so your next club, school or staff order is easier to place.

1. Keep One Master Record for Each Garment Range

The simplest way to avoid delays is to keep one clear record for every item you reorder often. That includes the garment name, fabric type, colour, size run, print positions and who approved the final version. When a school team, surf club or workshop staff group orders again, you do not want to start from scratch.

For example, a hoodie order from winter should tell you whether the print was one colour or multi-colour, if the back print was oversized, and whether the same supplier codes were used. In our Jeffreys Bay industrial area base we see that the best repeat orders come from clients who keep these details together from the start.

  • Garment type and colour
  • Size range and quantity per size
  • Print positions such as front, back, sleeve or neck label
  • Artwork version and approval date
  • Delivery town and contact person for collection

2. Build a Simple Size Breakdown That Matches Real Wearers

Most delays happen when the size split is guessed. If you manage school wear, club kit or staff uniforms, keep a real size record based on what was actually issued, not what someone thought should fit. This helps cut waste and keeps the order closer to what people will wear.

It also helps when your group grows or changes shape over time. A U12 team may need more small and medium sizes in one season, while a coastal hospitality crew may need more large and extra-large tops when new staff join. Having a proper record means your next quote is faster and more accurate.

  • Record actual sizes issued after each order
  • Note any returns or exchanges and why they happened
  • Keep a separate split for mens, ladies and unisex fits if used
  • Flag garments that shrink, stretch or fit small

3. Save Artwork Files and Print Details the Right Way

Repeat printing is easier when the artwork is clean and easy to find. Keep the logo, sponsor artwork and wording in one place with the date it was last used. If your group uses several versions, label them clearly so the wrong one does not get printed on the next batch.

For schools, clubs and local businesses in Kouga and Gqeberha, this matters even more when the same design must go onto T-shirts, hoodies and caps. A slight change in placement or lettering can affect the whole look. If you already know the print should be one colour, multi-colour or a sleeve print, note that beside the file.

  • Store final approved artwork only
  • Keep vector files or high quality artwork where possible
  • Note font changes, colour changes and spacing approvals
  • Record special finishes like neck labels or oversize back prints

4. Track Colours So Reorders Stay Consistent

Colour matching is one of the main reasons repeat orders need proper notes. If the original red was a specific shade, or the navy had to sit well on dark fabric, that detail must stay on record. This is important for branded team kit, event wear and staff clothing, especially where the same logo appears across different garment colours.

Coastal humidity, washing habits and sun exposure can all affect how a garment looks after use. Keeping a note of the fabric colour and print colour helps you stay consistent when you reorder months later. If a shirt set was printed on a lighter base because the original stock was unavailable, that should also be written down.

  • Record garment colour and print colour together
  • Keep notes on any matched colours used in the original run
  • Mark if the same design was printed on different garment shades
  • File sample strike-off approvals for reference

5. Plan for Schools, Clubs and Staff Wear Separately

Different groups need different reorder habits. A school may reorder in bulk for a full grade, while a surf club may only need a few replacement tops after a season. Staff uniforms often need smaller top-up runs as new people join. Keeping each group separate makes quotes and approvals much easier.

For local clients in Humansdorp, St Francis Bay, Cape St Francis, Oyster Bay and Kareedouw, a clear reorder file saves time when term starts, tournament season comes around or a new event is planned. If you place regular orders, note who signs off, who collects, and whether folding and bagging is needed before handover.

  • Separate files for each school, team or department
  • List the usual reorder month or season
  • Note whether the order is for stock, event use or staff issue
  • Keep a contact name for approvals and collection

6. Use a Reorder Checklist Before You Send the Enquiry

Before you submit the next order, check that all the basics are ready. A complete file helps the quote move quicker and reduces back-and-forth. It also means the production team can check print positions, garment availability and finishing needs with less confusion.

Good reorder planning is not complicated. It just means the important details are saved properly and checked before each new run. At Brand-On Screen Printing we work with repeat orders for schools, clubs and businesses across Jeffreys Bay and the wider Kouga area, so a tidy file makes a real difference.

  • Final artwork attached or clearly named
  • Quantity per size confirmed
  • Print positions listed
  • Garment colour and style confirmed
  • Delivery or collection town noted
  • Any folding, bagging or bulk packing requested

When you are ready, use the enquiry form on our contact page and include the order history if you have it. That gives us a cleaner starting point and helps keep the next run on track.

Questions we get asked

What should we keep on file for repeat clothing orders?

Keep the garment type, colour, size split, artwork version, print positions and approval details. If you use the same kit every season, add notes about any changes in fit or fabric too.

Do we need new artwork every time we reorder?

Not if the artwork has not changed. Keep the final approved file and label it clearly so the same version is used again. If anything changes, note exactly what was updated.

How far ahead should we plan a school or club reorder?

As early as possible, especially before term starts or before a sports season. A proper record helps speed things up, but popular sizes and bulk runs are still easier when they are planned in good time.
